Course Cancellation & Refund Policy

For Individuals
If you need to cancel your place on a course or training workshop, we kindly ask that you provide at least 14 working days’ notice before the course start date.
This aligns with consumer law, which allows a 14-day cancellation period after entering into a service contract.
Refunds within 14 Days:
You have the right to cancel your booking within 14 days of purchase. If we have not yet registered you with the awarding body, you may be eligible for a refund.
An administrative fee of £125 will be deducted to cover services already provided.
Refunds After Registration:
Once you are registered with the awarding body, your booking becomes non-refundable, even if within the 14-day period.
Substitutions
If you are unable to attend, you may nominate a colleague to take your place.
Please contact your organisation’s HR Administrator and ensure the cancellation is confirmed by your supervisor or HR department.
Cancellation Charges – Individual Bookings
If no substitute is provided, the following cancellation fees apply:
Time Before Course Start | Cancellation Fee |

16–12 weeks | 25% |
12–8 weeks | 50% |
8–2 weeks | 75% |
Less than 14 days | 100% |
Non-attendance or partial attendance on multi-day courses may also incur a pro-rata fee.
Funded Courses – Withdrawal Fee
For learners accessing funded courses, a £125 cancellation fee will apply if you:
- Fail to complete the course
- Withdraw early
- Do not attend
This covers administrative and awarding body registration costs.
In-House Training or Group Events (Organisations)
For organisations cancelling group bookings, the following charges apply:

Within 16 weeks | 50% |
Within 15 days | 100% |
These charges reflect agreements with venues, trainers, and any accommodation booked.
Cancellations must be sent in writing or via email to the KBC Course Administrator.
Failure to provide notice will result in the full fee being charged.
Course Rescheduling
If your course needs to be rescheduled, we will:
- Offer flexibility wherever possible
- Waive cancellation charges if at least 1 month’s notice is given
- Agree a new date within 3 months of the original

Occasionally, we may need to cancel or reschedule a course. In this case:
- We aim to provide at least 10 working days’ notice
- We will offer an alternative date where possible
- Notification will be sent via email from the Course Administrator
General Terms
- Refunds are issued on a case-by-case basis.
- Cancellations must be made before the training/workshop date.
- If group size falls below 4 learners due to non-attendance, the minimum group fee remains payable.
